Salary & payroll

Payroll works out what each person is paid for a month, from attendance and leave: the days payable, the days lost, overtime and holidays worked. You finalise the month and get a payslip for each person and one bank file to upload to your bank.

Upstay never pays anybody. Nothing here moves money.

Admins (owners). An owner can give a manager access on the Access page, under Salary & payroll.

Payroll in the rail, under People. The page has four parts: Runs, Salaries, What a salary is made of, and Statutory rates.

  1. Open Payroll and click Salaries.
  2. Find the person and click Set salary, or Change.
  3. Enter the Monthly salary and the date it starts From.
  4. Click Suggest a split to fill in the parts, then change any of them.
  5. Click Save salary.

A new salary closes the one before it. Nothing already paid changes.

One part takes whatever is left, which is what makes the parts always add up to the monthly salary exactly, however you set the others.

  1. Open Payroll and click Runs.
  2. Click Start last month.
  3. Read the top of the run. If it says days have a punch in and no punch out, fix them on Attendance first - Finalise stays off until you do.
  4. Check anybody listed as skipped. They have no salary set, and they are listed rather than dropped so the total cannot quietly be wrong.
  5. Click Finalise.
  6. Click Download bank file and upload it to your bank.

On a run, find the person and click Payslip. It opens as a file you can save or print.

A finalised month never changes. Click Void, give a reason, and run the month again.

Use a one-off allowance for a festival bonus or anything that happens once. It appears as its own line on that month’s payslip with your reason on it, and it does not come back the next month.

  • Every amount is in rupees and paise.
  • A person who joined part-way through the month is paid from their joining day.
  • Overtime is paid at the multiple your hotel set, within the monthly cap.
  • Working a holiday earns a premium or a day off in lieu, whichever your hotel chose on the How this hotel runs people card.
  • Payroll locks the attendance days it has paid.
  • “This month cannot be finalised” → Some days have a punch in and no punch out. They are listed first on Attendance.
  • “The fixed parts of this salary already come to more than the monthly salary” → Lower the parts, or raise the salary. Saving it anyway would pay more than the salary you entered.
  • Somebody is missing from the run → They have no salary set for that month. The run lists them by name.
