Exits & final settlement

Somebody leaving happens in two steps, on purpose.

Recording an exit writes down what happened and the last working day. It changes nothing about their access and nothing about their pay: they can still sign in, and the roster stops planning them only after that last day, so you see the gap coming.

Settling pays the month they worked, encashes the leave your policy encashes, adds any gratuity on your own formula, and only then signs them out everywhere.

Admins (owners). An owner can give a manager access on the Access page, under Salary & payroll.

Payroll in the rail, under People, then Leaving. You can also record an exit from the person’s own card: Employees, open the person, then Record an exit.

  1. Open the person and click Record an exit.
  2. Choose what happened: They resigned, We let them go, or The contract ended.
  3. Enter the Last working day. They are on the roster up to and including that day.
  4. Enter Notice given if there was notice.
  5. Enter Why, in a few words. It stays on the record.
  6. Click Record.
  1. Open Payroll → Leaving.
  2. Click Settle on the person’s row.
  3. Read what it will pay: the days of the month, the leave encashed, anything that is not encashable, and the gratuity.
  4. Click Settle.

This cannot be undone. The run is finalised, the leave is spent, and their sessions end.

Click Cancel on a planned row. They go back on the roster. An exit that has already been settled cannot be cancelled, because it has been paid.

  • Leave that your policy does not encash is listed, not hidden, so you can see the days that lapse.
  • Gratuity comes from the formula you entered on Statutory rates. If you have not entered one, there is no gratuity line - never a guessed one.
  • A year of service counts only once the anniversary has passed.
  • Deactivate is still there for somebody who simply must not sign in right now. It says nothing about money.
  • “set a salary first” → The person has no salary for that month, so the final payment would be zero without saying why. Set one on Salaries.
  • “An exit is already planned” → Cancel the planned one first, then record the new last working day.
