Payments (finance)
What it does
Section titled “What it does”Payments shows every rupee that came in today, and the payment links still waiting to be paid. The top row is one tile per payment mode (cash, UPI, card, online, bank transfer, collected by the OTA, Upstay credit) with its total and how many payments it holds. Below it, Today’s payments lists each payment; click a mode tile to see only that mode. Payment links waiting lists links sent to guests and not paid yet, so you can remind them.
The list on this page and the All payments report are the same numbers, so what you see here is exactly what you download.
Who can use it
Section titled “Who can use it”The owner, the accountant and managers. The accountant can see the payment links but does not send reminders. The front desk sees their own takings in My shift instead.
Where to find it
Section titled “Where to find it”Sidebar → Money → Payments.
How to see today’s money by mode
Section titled “How to see today’s money by mode”- Open Payments. The tiles show today’s total for each mode. Collected by the OTA appears only when there is something in it.
- Click a tile, for example UPI. The list below shows only those payments, titled UPI payments.
- Click Show all modes (or the same tile again) to see every payment.
- Click Excel on the list to download it.
How to see payments for other dates
Section titled “How to see payments for other dates”- Click All payments, any dates at the top. The payments report opens; pick From and To.
- Or click Payments by mode for each mode’s total over any dates.
How to chase a payment link
Section titled “How to chase a payment link”- Scroll to Payment links waiting. Each line shows the Guest, Room / booking, when it was Sent, the Amount and its Status.
- For a link still open, click Remind. The guest gets the same link again, and you see Reminder sent.
- For a link that has expired, click Send again. A new link for the same amount goes to the guest, and you see A new link was sent.
Tips & good to know
Section titled “Tips & good to know”- Money collected is not revenue. An advance for a future stay is collected today and earned on the night of the stay. See How Upstay counts your money.
- A refund shows as a minus line. The payment it came from stays in the list.
- Online payments reach the hotel in the Upstay payout, less Upstay’s commission. Collected by the OTA reaches the hotel from the OTA after checkout.
- A link is only marked paid when the payment is confirmed, never when the guest opens it.
Troubleshooting
Section titled “Troubleshooting”- “Not sent” → The reminder or new link could not be sent. Try again; if it keeps failing, send the link from the guest’s bill.
- “No payment link is waiting.” → Every link sent has been paid or cancelled.
- A payment you took is not in the list → It was recorded on another day (between midnight and 5 AM it counts on yesterday while yesterday is open), or it is still waiting to be confirmed.
