The holiday calendar

The holiday calendar is your hotel’s own list of holidays for the year, and the rules for how your hotel runs people: which days of the week are off, how overtime is paid, and what working a holiday earns.

Three things read it. The roster skips a public holiday, leave does not spend a day on one, and working one earns a premium or a day off in lieu.

Managers and Admins (owners). The rules below the calendar are Admin only.

Shifts & roster in the rail, under People. The holiday calendar is on the same page.

  1. Click Add a holiday.
  2. Enter the Date and the Name.
  3. Choose the kind:
    • Public: the hotel’s own holiday. The roster skips it.
    • Restricted: an optional holiday. Somebody can take it as leave, but it is still a working day on the roster.
  4. Click Save.
  1. Click Paste a year.
  2. Paste one holiday per line, as date, name, kind. For example: 2027-01-26, Republic Day, Public
  3. The screen says how many lines it read and shows you any it could not.
  4. Fix the lines it names, or remove them.
  5. Click Add them.

Lines it cannot read are listed rather than skipped quietly, because losing three of thirty holidays without being told is worse than being asked to fix them.

  1. Open the How this hotel runs people card.
  2. Tick the days of the week that are off for everyone.
  3. Click Save.

A roster pattern still wins over a weekly off, so somebody who genuinely works Sundays is planned for Sundays.

  • Two holidays can share a date - regional holidays often collide. The same name twice on one date is refused.
  • A holiday is a day, not a time. It applies to the whole day wherever your staff are.
  • Changing a holiday does not change a month that payroll has already run.
  • “That name is already on that date” → The holiday is already there. Check the list before adding it again.
  • A pasted line was skipped → The date was not YYYY-MM-DD, or the kind was not Public or Restricted.
